The Sports Room Privacy Policy


The Sports Room in responsible for all information you give to us. Kept securely in our database, we do not share your information with any third parties and comply with the Data Protection Act 1988, the amended version in 2003 and, most recently, the 2018 GDPR. Your personal details are only ever used by The Sports Room and will be treated with the highest of confidentiality at all times. The type of data we collect is the information you supply to us – your name, email, gender, sports interests, telephone number and perhaps your address, for example, if you have asked us to bring your bike back to you after repair or if you have made an online purchase.


All customer data is stored on our POS system, Lightspeed. Feel free to ask us anytime if you would like to see what records we have stored against your name – simply email You can view, rectify or delete your information as required. If you are a member of our loyalty scheme, The Reward Room, any purchases you have made in The Sports Room will have your name and email address attached to any sales. This is to ensure you get your loyalty points when you make a purchase in-store. This is managed by a third party data processor, Thirdshelf. You may have signed up for our loyalty scheme in-store or online. If you sign up on-line, rest assured your email address is not stored anywhere on this website but is stored in a secure database with Thirdshelf. You can unsubscribe from the loyalty scheme at any time or ask for any points to be added to your account should we have forgotten to do so in-store. Simply email with your request.


If you choose to join our email newsletter, the email address that you submit to us will be forwarded to MailChimp who provide us with email marketing services. We consider MailChimp to be a third party data processor. The email address that you submit on our website will not be stored within our own website as we do not have a database associated with this site.

Your email address will remain within MailChimp’s database for as long as we continue to use MailChimp’s services for email marketing or until you specifically request removal from the list. You can do this by unsubscribing using the unsubscribe links contained in any email newsletters that we send you or by requesting removal via email. When requesting removal via email, please send your email to us using the email account that is subscribed to the mailing list. You can also contact Mailchimp directly and ask to be removed from the mailing list – please note however, that it would be better to contact us directly in case there was a duplication of lists.

If you are under 16 years of age you MUST obtain parental consent before joining our email newsletter.

We aim to send out our newsletters once a month.



Should you submit a query to us via Bike Exchange, we receive your name, email address and phone number from Bike Exchange so we can respond as necessary. If you make a purchase with us, we add you to our database, if not, we delete your record after a period of 6 months. Like most websites, we use Google Analytics to track user interaction. We use this information to see how many people are using our site, where they go when they are on the site and to determine how they have found our site in the first place. This is just data to us, we do not know the identity of any visitors to the site. It is possible to identify a user via a computer’s IP address, however, Google does not allow us access to this information. Google Analytics makes use of cookies, details of which can be found on Google’s developer guides. Our website uses the analytics.js implementation of Google Anaylitics. If you do not want Google Analytics to track your visit on our website, simple disable the cookies.


When you make an online purchase, we use PayPal to manage the financial transaction. Any details you complete to make the purchase e.g. email, address, phone number are recorded in our Lightspeed POS system so we can ship your purchase and contact you should there be a reason to. We only use your details if you have requested signing up for our newsletter at the time of purchase. Your details will remain on our database but should you wish to remove them, please email


Should you contact us using the conctact form on our Contact Us page or via an email link like this one, none of the data submitted will be stored by this website or passed onto any thirdparty data processors like Mailchimp. The data you submit is collated into an email and sent to us using Simple Mail Tranfer Protocol or SMTP. All emails are transferred securely via the Blacknight mail server. At The Sports Room, your security and privacy are of the utmost importance to us. Our online store is secured using the 256-bit SSL standard. An SSL connection is an encrypted connection between a server and a visitor. It’s recognisable by the https:// prefix in the URL. On pages that require data protection such as the checkout area, customers go to This is a secure environment. The data exchange between our online store and the database is encrypted. Personal details, payment data and all other private data of customers is sent and stored in encrypted form. Because we use Paypal, you can be sure that we do not store any customer credit card details.
